Privacy Policy — GrantWizard

Availability. GrantWizard serves organizations located in Canada, in relation to Canadian funding programs. We do not offer services to users in the European Union, the European Economic Area, or the United Kingdom, and this site is not directed to those regions. Please do not submit personal information from those jurisdictions.

1. Who We Are

GrantWizard is a trade name of 17795131 Canada Inc., a federally incorporated Canadian company. We are the organization responsible for the personal information described in this policy.

This policy is written to meet our obligations under thePersonal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.

2. What We Collect

Information you give us through this site

When you submit a form on this site, we collect what you type into it:

Contact form — your name, email address, organization name, and message.
Callback request — your name, phone number, and preferred date and time for a call.

We also record which page the submission came from, and the date and time it was received, so we know the context of your enquiry.

Information you give us during an engagement

If you become a client, we will receive whatever material is needed to do the work: program descriptions, budgets, financial statements, outcome data, staff and board information, prior applications, and funder correspondence. Some of this may contain personal information about your staff, board members, or program participants.

Information collected automatically

Our hosting provider processes standard technical request data — IP address, browser type, requested page, timestamp — as part of serving and securing the site. We use Cloudflare Turnstile to distinguish humans from automated traffic on our forms; it processes a challenge token and your IP address for that purpose.

This site does not run advertising trackers, marketing pixels, or cross-site profiling.

3. Why We Collect It

To respond to your enquiry and, where you have asked, to call you back;
To assess whether we are a good fit for the work you are describing;
To deliver services under an engagement;
To keep records of client work, as required for business and tax purposes;
To protect the site and our forms from spam and abuse;
To understand which pages lead to enquiries, so we can improve them.

We rely on your consent, which you give by submitting a form, and on the legitimate business need to deliver an engagement you have entered into.

4. What We Do Not Do

We do not sell your personal information. Not to anyone, in any form.
We do not share your enquiry or client information with funders, other clients, or third parties for their own marketing.
We do not use your confidential organizational material to train machine learning models.
We do not add you to a marketing list because you sent us an enquiry. Any marketing email requires a separate, explicit opt-in, and every message includes an unsubscribe link, as required by Canada's Anti-Spam Legislation (CASL).

5. Service Providers

We use a small number of providers to operate. They receive only what they need to perform their function, and are bound to protect it:

Cloudflare — website hosting, database storage, bot mitigation (Turnstile). Form submissions are stored in a Cloudflare D1 database.
Calendly — where you choose to book a call directly, your booking details are handled by Calendly under its own privacy policy.
Email and productivity providers — for correspondence and document handling during an engagement.
Subject matter experts — on technical engagements, contracted specialists who are bound by the same confidentiality obligations we are.

6. Where Your Information Is Held

Our infrastructure runs on Cloudflare's global network, and data may be processed or stored on servers outside Canada, including in the United States. Information held in another country is subject to that country's laws, which may permit access by its courts or law enforcement. If this is a concern for your organization, tell us before an engagement begins and we will discuss what we can accommodate.

7. How Long We Keep It

Enquiries that do not become engagements — retained for up to 24 months so we can pick up a conversation you return to, then deleted.
Client engagement records — retained for at least seven years after the engagement ends, to meet business, tax, and audit obligations, and because funders may require historical documentation for reporting or audit well after an award.
Technical logs — retained on our provider's standard short-term schedule.

8. Your Rights

Under PIPEDA you may:

Access the personal information we hold about you;
Correct information that is inaccurate or incomplete;
Withdraw consent to further use, subject to legal and contractual limits;
Request deletion of your information, where we are not required to retain it;
Unsubscribe from any marketing email at any time.

Write to hello@grantwizard.ca. We respond within 30 days. We may need to confirm your identity before releasing information.

If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada.

9. Security

The site is served over HTTPS. Form submissions are protected by bot mitigation and stored in an access-controlled database. Client material is handled on a need-to-know basis within our team. No system is perfectly secure, and we cannot guarantee absolute security, but we will notify affected individuals and the Privacy Commissioner where a breach creates a real risk of significant harm, as PIPEDA requires.

10. Children

This site is directed to organizations and the people who run them. It is not intended for children, and we do not knowingly collect personal information from them.

11. Changes

We may update this policy. The effective date above reflects the current version. Material changes affecting how we handle information already collected will be communicated directly where we have a way to reach you.
